Back office & ITAM

The office tools already in the platform.

Helpdesk, training, knowledge base, IT asset management, plus a Travel portal that books the trip and pays the per diem, and an Office portal at office.aos.build where non-field staff find every office workflow in one place. The "we should buy something for that" list, made redundant.

Knowledge base articles pre-load into the helpdesk ticket form by category — deflection before submission
Helpdesk

A ticket queue that knows what the company does.

A construction-aware helpdesk — categories pre-populated for "trailer tablet down," "pay-app workflow stuck," "lien waiver state question." Per-category SLA. Tickets linked to the project they're about. The IT team and the field team don't speak different languages.

  • P1-P4 severity — with default and per-category SLAs (2h / 4h / 24h / 5d).
  • Project-aware — a ticket can be linked to a project, a cost code, or a piece of equipment so context travels with it.
  • KB deflection — relevant knowledge base articles surface on the submission form before someone files.
  • Auto-assignment — by category, project, or load-balanced across the support pool.
  • CSAT after close — one-question rating; aggregates feed the morning briefing's "trouble spots" panel.

Training & LMS

Bilingual safety talks. OSHA-graded.

A native LMS preloaded with a 52-week bilingual toolbox library, OSHA-aligned training paths, role-based assignment, and per-worker progress. The certifications module ties expiration alerts directly to license-requirement matching by jurisdiction.

  • 52-week EN/ES toolbox library — preloaded; assign weekly with one click.
  • Role-based paths — new hire, foreman, PM, accounting — each role gets the training they need.
  • Quiz + sign-off — competency checks; foreman attests as proctor when needed.
  • Cert / license tracking — expiration alerts; jurisdiction-matched to project requirements.
  • Vendor-led embed — third-party training (manufacturer cert, OSHA 30) embedded with completion captured.

Asset management (ITAM)

The laptop that should be in your employee's name still is.

Asset lifecycle from purchase → checkout → return → disposition. Onboarding kicks off automatic checkout requests for laptop, phone, badge, gas card, vehicle. HR sees what's still in an employee's name when they leave. The "did anyone get that laptop back?" question stops being asked.

  • Asset registry — laptop, phone, vehicle, tool, badge, gas card — one schema, one history.
  • Checkout / return workflow — request → approval → handover → return; condition recorded both ways.
  • Onboarding integration — new hire record kicks off checkout requests for their role's default kit.
  • Offboarding hold — HR cannot close an exit without every asset returned or written off.
  • Depreciation feed — capitalized assets feed the fixed-asset register; depreciation runs through GL automatically.

Room booking

The conference room that doesn't double-book.

Office and trailer conference rooms with recurring reservations, equipment tags (projector / VC / whiteboard), and capacity-aware booking. OAC meetings get pre-booked from the project schedule. The "who reserved this room?" sticky note retires.

  • Per-room capacity + equipment tags — search by what you need.
  • Recurring reservations — weekly OAC, daily standup, monthly board meeting all supported.
  • Project link — meetings auto-linked to the project they're about; minutes feed the project record.
  • Trailer rooms — site trailer conference rooms book the same way as the main office.
  • Calendar sync — Google / Microsoft calendar two-way for attendees.

Travel portal

Book the trip. Pay the per diem. Skip the spreadsheet.

A consolidated travel surface where employees book flights, hotels, and rental cars — and where per diem disburses automatically without anyone retyping a receipt. Long-commute hotel costs and per-traveler preferences ride the same record.

  • Trip booking — flights, hotels, rental cars on negotiated rates; corporate card billing, receipts captured at purchase.
  • Per-diem calculator + auto-pay — GSA / OCONUS rates applied per trip and disbursed automatically; federal-vs-excess split for payroll tax.
  • Long-commute hotels — for crews working out of state, hotel costs tracked at the project level with weekly per-worker summaries.
  • Traveler profiles — frequent-flyer numbers, hotel loyalty IDs, seat preferences, TSA known-traveler all saved per employee; no re-entry per trip.
  • Wired to expense + payroll — every trip lands on the right project / cost code; per diem hits payroll; receipts feed expense reports.

Office portal

One front door for every office employee.

A consolidated landing surface at office.aos.build where non-field staff book a conference room, submit a helpdesk ticket, request office supplies, check training due, see assigned assets, and sign visitors in. Same auth, same audit trail; one URL to remember.

  • One subdomainoffice.aos.build as a clean entry point for office workers who don't need the full PM surface.
  • Room + workspace booking — rooms, hot desks, AV equipment, recurring meetings, calendar sync, capacity-aware search.
  • Visitor management — guests pre-register; badge prints at the front desk; host gets pinged on Slack or SMS when they arrive.
  • Office-supplies + facilities tickets — broken printer, lights out, supply order — routed into the helpdesk queue with the right category.
  • "My stuff" panel — assigned assets, training due, PTO balance, expense status, recent helpdesk tickets — at a glance for the employee.

Knowledge base

The institutional memory that survives turnover.

A KB structured by role, by topic, by jurisdiction — wired into helpdesk submission, training paths, and the project record. When the PM with twenty years of tribal knowledge retires, their answers are still here.

Author from a ticket

When a helpdesk close-out reveals a repeat issue, one click turns the resolution into a KB draft for an author to refine.

Surface in-context

Articles appear inline on helpdesk forms, in training paths, and on the project record under the topic they cover.

Review & expire

Each article has an owner and a review cadence. Stale articles get a "review by" reminder; out-of-date ones get archived with a redirect.

Search-first

Full-text + semantic search across articles, KB tags, jurisdiction, and module. Tribal knowledge is searchable, not haunted.

Other back-office surfaces

The work nobody else automated.

HR

Onboard / offboard packet

New-hire packet (I-9, W-4, direct deposit, EEO, handbook) issued via secure link; offboarding closes the loop on assets and access.

Approvals

Workflow engine

Generic approval engine reused across PTO, expense, AP, CO, and asset checkout. One inbox per approver.

PTO

PTO + holidays

Per-state holiday calendars, accrual rules, blackout windows, and a project-aware approval that respects schedule needs.

Expense

Expense + receipt OCR

Receipt photo → OCR → category → approval. Credit-card feed reconciliation. Mileage handled by the same engine that runs per diem.

Notifications

Critical-only digest

Per-user digest preferences. Foreman wants daily; CFO wants weekly. Critical alerts override and SMS instead.

Admin

Org tree + roles

Department / branch / project hierarchy with role assignment and impersonation audit trail (you can see who acted as whom).

See the back office on your org.

30 minutes. We'll set up a sandbox with your departments, a couple of asset categories, and your training paths — and walk through the onboarding flow on a fake new hire.
